UK Tournament Circuit (UKTC) is a market-leading organiser of large-scale competitive tabletop events across the UK. We deliver professionally run tournaments, customer-facing experiences and events that require detailed planning, reliable operations and excellent people management. We are recruiting an Assistant Event Manager to support our Event Manager in planning and delivering events.


This role will have a direct and lasting impact on the Warhammer 40,000 competitive scene: the successful candidate will help shape the future of 40k by delivering flawless, scalable events that set new standards for play, production and player experience. By raising the bar on operational excellence, competitor support and community engagement, they will ensure our events remain recognised as the world’s best. They will also influence format and innovations, mentor event teams and judges, and translate on-the-ground learnings into repeatable processes that elevate every UKTC event and strengthen the wider 40k ecosystem.


Role summary

You will assist the Event Manager with all aspects of planning, resourcing and delivering events. This is a hands-on operational role: you will work across pre-event planning, supplier and venue liaison, on-site delivery and post-event close-out. The successful candidate will be organised, adaptable under pressure and comfortable working irregular hours during event periods. This is a role for a 'Doer' someone who thrives of being busy and task completion. It is essential that the candidate is self motivated, likes to be busy, and is comfortable working in a high pace work environment with a high performance culture.


Key responsibilities

  • Support the Event Manager in end-to-end event planning: venue searches, venue contracts, layout/floor plans, attendee capacity and ticketing coordination.

  • Maintain and action pre-event checklists, timelines and risk assessments.

  • Coordinate suppliers and third-party contractors and manage contractual deliverables.

  • Recruit, brief and manage event staff and volunteers (judges, floor staff, team leads), including rotas and on-site supervision.

  • Lead on on-site operations during events: setup, supplier briefings, incident management, guest and exhibitor relations, and timetable adherence.

  • Monitor budgets and purchase requests, produce basic financial reconciliations.

  • Compile post-event reports and debriefs, capture lessons learned and follow up outstanding actions.

  • Ensure compliance with health & safety, safeguarding and venue licensing requirements.

  • Maintain accurate event documentation and update shared systems (schedules, spreadsheets, ticketing platforms).


Person specification (essential)

  • Full drivers license and comfortable driving a 3.5 ton Luton Van.

  • Strong organisational skills with excellent attention to detail and the ability to manage multiple parallel workstreams.

  • Comfortable working under pressure and making operational decisions on site.

  • Proficient with Google Workspace (Docs/Sheets/Drive)

  • Flexible availability, including regular weekend and evening work, and the ability to travel to event sites across the UK.

  • Enjoys being a lifelong learner and self-improvement.
