What to Expect at Your First UKTC Event: A Guide for New Attendees

If you have recently purchased your first ticket to a UKTC event, congratulations and we can’t wait to welcome you to our community!


This post will help explain what your next steps are, how you can best prepare, and what to expect from your first time at a UKTC event!

Registration

Once you have purchased your ticket, as the event approache,s you will receive an email when registrations have opened - 10 days prior to the event itself, this will include a link to the platform where the event is being hosted. For the majority of our events this is Best Coast Pairings app (BCP). It is worth checking that you have an account set up ahead of time and are familiar with how the platform works.

List Submission

The list submission deadline for most of our game systems is the Sunday before the event. Your lists should be submitted in a readable format and accurate by this time - this will help speed up the checking process. For specifics, depending on the game system please refer to the Tournament Packs, you can find them here. For 40k events we recommend using a list building app with a structured output, such as the Warhammer App.

List Checking

After list submission has closed, we proceed to the list checking stage. During this time we collate a document and assign each player two lists to check - this is an important step as it can identify any errors or issues with plenty of time to resolve them, so keep an eye on your emails for this one!

Practical Bits

As the day gets closer, we will send a reminder email with the practical details about our venue, such as guidance for access, transport, and parking. This information is all available before time in our location packs for the event page, but we like to share this directly before the event to make it a bit easier to reference!

On The Day

The day has arrived, and it's time to go! Make sure you have everything you need before you head to the venue - we have a handy checklist and post about that you can check out.


Once you have arrived at the venue, the doors will open at 9 am, and you can make your way to your table. Everything is clearly signposted, we use banners to identify the different systems.

During this time, and throughout the weekend, our team will be on hand if you need anything. Just keep an eye out for the black and white ref shirts.


After each round has finished and all the scores are submitted, the next round of pairings are triggered, you will be able to find your table number on the tournament app!


Throughout the event, you may find the need to speak to a TO or a judge. This can be done in a number of ways. You can find a judge by the distinctive black & white striped jerseys and approach them directly, or use the QR codes on the table to enable you to request a judge directly to you. Outside of the round, if you need any hel,p you can ask at the TO desk, this is where we are best able to help if you have any questions or need any assistance with how the tournament is run.


In the highly unlikely event that you wish to make a sportsmanship complaint or have any other issues, our team are trained to handle these discreetly and with confidence, so you should have no hesitation in approaching them at all.

After The Event

Once the event is over we share out a feedback request, this is a key piece for us and your time to share your experience - let us know what went well, what you enjoyed, and anything you think could be improved, we take the time to read and review all the feedback we receive and aim to action as much of it as we can.
