Event Manager – UK Tournament Circuit (UKTC)
Updated: Oct 1
UK Tournament Circuit (UKTC) is looking for an Event Manager to join our team and take a leading role in delivering the biggest tabletop gaming events in the world.
UKTC runs a national calendar of major Warhammer events, culminating in the London Grand Tournament (LGT), alongside Super-Majors, team tournaments and other large-scale gaming events around the country.
Our events bring thousands of people together every year. Behind each one is a substantial live operation: venues, equipment, suppliers, staffing, logistics, schedules, player communications, health and safety, tournament infrastructure and the thousand small details that determine whether an event feels effortless to the person attending it.
We are looking for someone who can take ownership of making all of that happen.
The Role
This is a hands-on event management role with responsibility for taking UKTC events from the planning stage through to successful delivery and post-event close-out.
You will work closely with the Managing Director and wider UKTC team, but be expected to own your events rather than simply coordinate individual tasks.
That means knowing what needs to happen, building the plan, making sure other people know what they need to do, identifying problems before they become problems and ultimately being accountable for getting the event over the line.
Some weeks involve spreadsheets, supplier calls, schedules and planning meetings. Event weekends involve being on site, solving problems in real time and making sure several hundred—and occasionally more than a thousand—attendees receive the experience promised.
Key Responsibilities
The role will include:
Planning and delivering UKTC events from initial preparation through to breakdown and close-out.
Creating and maintaining detailed event plans, timelines, checklists and operational documentation.
Managing relationships with venues, contractors and suppliers.
Coordinating event logistics including equipment, terrain, furniture, signage, stock and transport.
Developing event layouts and determining operational requirements.
Coordinating event staff, judges, contractors and volunteers.
Producing staffing plans, rotas, schedules and event-day briefs.
Managing event build, live delivery and breakdown.
Tracking deadlines, dependencies and critical tasks across multiple events.
Managing event expenditure and working within agreed budgets.
Overseeing health and safety, risk assessments, incident procedures and venue compliance.
Maintaining high standards of event presentation and customer experience.
Coordinating with the wider team on ticketing, communications and event information.
Troubleshooting problems calmly and decisively during live events.
Conducting post-event reviews and ensuring lessons learned are carried forward.
Improving and documenting UKTC's event systems and processes so that our events become easier and more efficient to deliver as the company grows.
Who We Are Looking For
Above all, we are looking for ownership.
The right person will be someone who can be given responsibility for an event and be trusted to make sure it happens.
You are likely to:
Have professional experience in event management, operations, project management or another logistics-heavy environment.
Be exceptionally organised and comfortable turning complicated projects into clear plans.
Be able to prioritise effectively when several things need attention at once.
Communicate clearly with suppliers, colleagues, contractors and customers.
Be comfortable holding other people accountable for deadlines and deliverables.
Spot problems early and take action rather than waiting to be told what to do.
Remain calm and methodical when things go wrong.
Be confident making decisions during live events.
Be comfortable switching between desk-based planning and practical on-site work.
Care about the small details that affect customer experience.
Be comfortable working with budgets, spreadsheets and operational data.
Look for ways to improve systems rather than simply repeating the same process.
Experience delivering large live events, conferences, festivals, sporting events, exhibitions, tournaments or similar operations would be particularly valuable.
Working at UKTC
UKTC is a small team delivering unusually large events. That means there is a lot of responsibility, but relatively little bureaucracy.
You will have significant autonomy and your work will have a very visible impact on the events we deliver.
This is not a role where event management happens entirely from behind a desk. You will see the plans you create turn into physical spaces filled with hundreds or thousands of people.
That also means accepting the realities of live events: regular travel around the UK, weekends away, early starts, late finishes and occasionally getting involved in the physical work required to get an event ready.
Why UKTC?
Our ambition extends beyond simply running a calendar of tournaments.
UKTC is building the infrastructure that allows organised tabletop gaming to grow—from local communities and emerging organisers through to major national events and the London Grand Tournament.
The Event Manager sits at the centre of the part of that system our customers experience most directly: the events themselves.
As UKTC continues to grow, there will be considerable opportunity to shape how those events operate, improve the systems behind them and help establish the standards by which they are delivered.
Practical Details
